GENERAL JOB INFORMATION

Title: Grants and Programs Accountant
Reports To (Title):    Chief Financial Officer
Department: Finance
Salary Range: $70,000.00 to $75,000.00

JOB SUMMARY

The Grants and Programs Accountant plays a pivotal role in ensuring the financial health and sustainability of Trident United Way. The Grants and Programs Accountant, reporting directly to the Chief Financial Officer, is r esponsible for grant accounting, billing, and analysis to ensure fiscal compliance of all grant-funded programs.

RESPONSIBILITIES
  • Maintains a working knowledge of grant regulations and relevant information, to include funding allocations, processes, laws, rules, and regulations; reads and reviews multiple publications and federal, state, and local guidelines to track changes and updates.
  • Maintains grant reporting system to ensure timely delivery of grant reports.
  • Coordinates with Finance department to establish, maintain, and finalize required fiscal procedures; monitors programs and fiscal aspects to meet grant requirements.
  • Assists with the development, implementation, evaluation, and audit of all grant programs.
  • Works with Director of Grants & Programs on budget set-up and maintenance.
  • Works with representatives from funding agencies to establish reporting requirements and funding system requirements.
  • Generates monthly reports for use by grants administrators and grant project directors in monitoring grant activities.
  • Monitors monthly activity on all grants to ensure proper account coding and proper use of funds under grant terms.
  • Maintains grant archives, including contracts, amendments, and closeouts for use in official audit preparation.
  • Prepares monthly, quarterly, and closeout billings as needed for each grant using various defined formats by the funding agency while meeting required deadlines.
  • Responsible for expedient collection of all billed grant funds.
  • Prepares correcting journal entries needed to general ledger for proper grant maintenance.
  • Prepares audit work papers for independent audit.
  • Performs reconciliations of accounts receivable and other general ledger accounts.
  • Performs balancing of business office receipts and researches and corrects any errors.
  • Works with Director of Grants & Programs to obtain supporting documentation required for invoice submissions.
  • Researches billing or expenditure discrepancies; generates reports from financial software.
  • Researches reporting and expenditure eligibility requirements for each granting agency as they apply to each grant received.
  • Provides assistance in developing and executing accounting principles and procedures.
  • Responds to inquiries from other employees and various regulatory agencies by phone or in writing.
ADDITIONAL RESPONSIBILITIES
  • Work closely with outsourced IT management and building management companies to oversee the needs of the organization and facility.
  • Share ideas and provide input to help Trident United Way respond to the unique needs of the community.
  • Engage in team meetings and always demonstrate the Trident United Way culture.
  • Perform other duties as assigned or requested.
QUALIFICATIONS
Experience
  • Bachelor’s degree in Accounting, Finance, or Business Administration required.
  • Minimum of three (3) years of demonstrated federal grant accounting/billing experience preferred.
  • Three to five (3-5) years general accounting or other business office experience required.
  • Minimum of five (5) years of experience working with and managing grants and/or federal level programs.
  • Combination of experience and education will be considered.

  • Occasional drive/travel as a function of overall responsibility; local and out-of-state travel required. Must have:
  • Knowledge of Generally Accepted Accounting Principles (GAAP).
  • Ability to research OMB Uniform Guidance, understand, and apply complex federal, state, local, and other laws, regulations and guidelines to various accounting, payroll, and grant related functions and procedures.
  • Prior work experience in the nonprofit sector.
  • Proven record of successfully managing multiple state, federal, corporate, private funded grant programs in excess of $250k.
  • Knowledge of the grant application process and a proven record of receiving, tracking, and auditing grant awards.
  • Multi-cultural sensitivity; the ability to demonstrate a sensitivity and awareness of diversities in people and cultures.
  • Demonstrated leadership ability; experience leading and developing a team.
  • Proven ability to energize and motivate others.
  • Ability to think and communicate information visually through various types of communication media (e.g. print, electronic, presentation software).
  • Strong analytical and creative problem solving skills; ability to ask questions and provide feedback with a commitment to quality, responsibility, and high work standards.
  • Strong time management skills, with focus on the ability to handle multiple project needs simultaneously.
  • Strong written, verbal, and interpersonal communication skills.
  • Proficiency in accounting software, Microsoft Word, Publisher, PowerPoint and Outlook. Advanced Excel Skills (e.g. Pivot Tables, V-Lookups) preferred.
  • High attention to detail and accuracy, esp. during data entry.
PHYSICAL DEMANDS OF THE JOB
  • This job requires exerting up to 20 pounds of force frequently and/or a negligible amount of force constantly to move objects.
  • Team Member must frequently use typical office equipment (telephone, copier, printer, fax, etc.).
  • Team Member sits most of the time.
  • Team Member communicates with constituents, clients, and/or partners by phone and in person.
  • Routinely required to navigate other facilities and occasionally travel by car.
WORK ENVIRONMENT

This is a hybrid position. Primarily works in a climate-controlled office-based setting. The opportunity to work remotely two days a week is available.
