Summary

Are you an organized, proactive, and tech-savvy individual looking to make a meaningful impact in a fast-paced real estate environment? We are seeking a dedicated Real Estate Assistant to support our team with database and lead management, client care, marketing, and office operations. This role is essential in ensuring smooth day-to-day operations, delivering exceptional client service, and enhancing our marketing and agent support functions.

Responsibilities

Key Responsibilities:

  1. Database & Lead Management : Oversee CRM and lead management systems, ensuring accurate data entry and follow-up on client interactions.
  2. Client Care Coordination : Conduct weekly client care calls for status updates on listings and transactions, host onboarding and pre-closing Zoom meetings with clients, and provide concierge services for client requests such as repairs, staging, and inspections.
  3. Marketing & Design : Prepare marketing materials, including brochures, mailers, and handwritten cards. Proficiency in Canva for designing social media posts and marketing collateral is a must.
  4. Social Media & Online Presence : Manage social media accounts and update Google profiles to maintain an active and professional online presence for the business.
  5. Office Management & Support : Handle incoming calls, schedule showings, coordinate agency agreements, maintain office supplies, and oversee transaction support staff. Ensure office upkeep and provide essential support for agents.
  6. Event Coordination : Plan and coordinate client and team events, handling all logistics from setup to execution.
  7. Client & Transactional Support : Assist with in-person items such as inspections, certification of occupancy payments and orders, permits, and more.
  8. Recruiting & Onboarding : Support recruitment and onboarding of new agents, assisting with initial paperwork, introductions, and office setup.
  9. Budget Management : Oversee budget auditing, manage receipts, and handle office expenditures to ensure financial transparency.

Hours are Monday, Wednesday Friday 9-4

Qualifications

Qualifications:

  • Strong organizational and multitasking skills
  • Proficient in Canva, social media platforms, and client relationship management systems
  • Exceptional interpersonal and communication skills
  • Ability to coordinate multiple projects with attention to detail and accuracy
  • Experience with real estate transactions is preferred
  • Tech-savvy and proficient in MS Office and Google Workspace
