Job Summary

We are seeking a highly organized and proactive Project Coordinator to support and streamline the execution of diverse projects, ranging from simple tasks to more complex initiatives.

In this full-time role, you will collaborate closely with the Project Management team to ensure every project meets its goals, deadlines, and quality standards. Your responsibilities will include maintaining project documentation, coordinating administrative tasks, and fostering effective communication between clients and internal teams.

To thrive in this role, you’ll need exceptional time management skills, attention to detail, and the ability to work collaboratively in a dynamic environment. Your contributions will play a key role in ensuring our projects run smoothly and successfully.

 

Responsibilities

  • Performing duties assigned by the Project Manager in an orderly and efficient manner
  • Assisting in the planning and implementation of projects, including but not limited to, data entry for quotes, counts through Bluebeam, pulling spec sheets, compiling a submittal, compiling warranty booklets, etc.
  • Acts as a liaison with project stakeholders, maintaining clear communication about project details, updates, and deliverables
  • Works with vendors to obtain pricing, lead times, and ship dates
  • Helping to coordinate and manage project tasks and deliverables in a timely manner
  • Conducting administrative duties, such as setting up meetings, tracking and reporting project progress, order management, specification and warranty binders 
  • Analyzing data as required
  • Research information and other projects to support other teams and departments as needed
 

Required Skills and Qualifications

  • Experience in administrative or operations support, ideally within in the construction, designer, architectural field, or lighting rep agency
  • Ability to multitask, self manage and meet project deadlines and timeframes
  • Exceptional attention to detail, with a strong ability to identify and correct errors
  • Excellent communication and interpersonal skills, fostering strong collaboration with clients and team members
  • Strong written, verbal, and organization skills
  • Demonstrated ability to work independently, proactively ask questions, and find solutions to various challenges

Preferred Skills and Qualifications

  • Bachelor’s Degree (or equivalent) 
  • Experience in Bluebeam Revu, Google Suite (Sheets)
  • Knowledge of architectural plan reading
