Responsibilities

POSITION SUMMARY :  Manages the functions in the discharge assembly, analysis, and filing of records.  Responsible for the day-to-day operations of department and management of departmental staff.

QUALIFICATIONS :

Education :        Bachelor’s or Associate degree in Health Information management or related field. Registered Health Information Administrator (RHIA) or Registered Health Information Technician (RHIT) credential is required for this position.

Experience :      Previous supervisory experience.  Previous experience in mental health field and medical records preferred.

RELATIONSHIPS:

Reports to :       Director of Risk Management/Performance Improvement          

Supervises :      Medical Records Clerk and Medical Scribe

Internal Relationships :   All Pavilion Employees and Medical Staff

External Relationships : Patients and Customers

Qualifications

ESSENTIAL FUNCTIONS:

  1. Manages oversight of transcription service contract and reviews reports for accuracy. Additionally, manages oversight of internal messaging platform.
  2. Maintains oversight and facilitation of HIM committee and functions.
  3. Serves as facility coder with a required overall accuracy rate of 95%.
  4. Maintains management of all departmental staff including conducting performance evaluations and corrective action process.
  5. Maintains oversight of departmental policies, procedures and compliance to them.
  6. Serves as liaison between department and hospital business office in regard to coding and UB92’s.
  7. Serves as liaison between The Pavilion and Central Illinois Medical Review Organization (HSI).
  8. Develops and maintains interdepartmental quality control standards.
  9. Serves as chairperson of the Forms Committee.
  10. Serves a liaison between The Pavilion staff and Medical Records department.
  11. Responsible for ensuring that all records meet JCAHO and other external agency standards.
  12. Reports all activities and problems/concerns relative to Medical Records to the CEO.
  13. Maintains oversight of chart review, analysis and chart flow including oversight of physician documentation content and timeliness as it relates to regulatory standards.
  14. Serves as hospital Privacy Officer, responsible for overseeing privacy policies and procedures, as well as ensuring facility compliance with HIPAA and all applicable state and federal privacy regulations. This including reporting breaches to the Office of Civil Rights as appropriate. Auditing and providing training are also a function of this role.
  15. Conducts new hire orientation and annual competency review with all new facility employees on HIPAA rules. Conducts departmental orientation with new staff. Conducts departmental orientation with new staff.
