Johnson & Johnson is recruiting for an Executive Assistant to join our ABIOMED team located in Danvers, MA.
Per our J&J Flex Policy, the expectation for this position is to work in the office 3-4 days per week and work from home 1-2 days per week.
The Executive Assistant to the Platform President will provide administrative and operational support for the organization. In additional to the foundational elements of travel, calendar and meeting coordination, the EA is responsible for functional communication and key events for the organization. The successful candidate will be forward thinking, anticipate needs and be able to work well in a fast-paced environment, both independently and as part of a collaborative team. Strong verbal and written communication skills, including PowerPoint, are critical. The EA role plays a key role in building strong relationships across functions.
Primary Duties and Responsibilities: • Prepare agendas, coordinate and manage operation mechanisms such as department specific meetings and presentations, attend meetings and subsequently follow-up on significant and timely matters
• Work internationally with company offices in Germany, Singapore and Japan regularly and manage projects with key partners around the world
• Plan and manage all national and international travel and speaking engagements and arrangements; prepare expense reports accordingly
• Provide administrative, telephone support and calendar management to the Platform President, and manage projects including preparing PowerPoint presentations
• Foster an environment of appreciation and recognition within the team and complete special projects that positively drive employee engagement
• Provide administrative support such as coordination of purchase orders, schedules and special projects to the VP's direct reports, as well as provide assistance to departmental colleagues
• Build and maintain positive relationships with all members of the Global Strategic Marketing and Healthcare Solutions Team, and key points of contact from each department to enhance and maintain the reputation of the department, create efficiencies and drive strategic initiatives
• Interact with other departments to effectively and efficiently conduct special projects and assignments• A high school diploma is required; Bachelor Degree preferred
• Minimum five years prior administrative experience supporting VP level or higher
• Able to work independently and handle a wide variety of situations, including conflict resolution and troubleshooting issues
• Very strong proficiency in PowerPoint is required, with a creative eye for improving existing presentations
• Excellent verbal/written communication, organizational, prioritization, time-management skills and attention to detail required
• Must have strong initiative, self-motivation, very high standards and outstanding attention to detail
• Demonstrate a professional, positive, and approachable demeanor in working and effectively communicating with a diverse group of people; always demonstrating high emotional intelligence
• Exercise discretion, judgment, tact and poise in handling highly sensitive and confidential information
• Proactive approach to each task to anticipate needs, establish contingency plans and minimize risks to ensure optimal outcomes
• Able to troubleshoot and independently solve problems and able to constructively approach larger problems that need to be relayed to the VP by simultaneously providing analysis and potential, viable solutions
